# Gym Front Desk Software: How Reception Runs Check-In, Payments and Sales

## The live check-in feed: the desk's main screen

A live check-in feed is a list that updates as members enter, showing who walked in and when. Reception keeps it open all day because it answers the common questions at a glance: is this person inside, did the scan work, how busy is the floor.

What makes a feed useful at the desk:

* **Every entry source in one list.** QR scans at the counter and turnstile entries should appear together, so staff do not check two screens.
* **Denied entries are visible.** If a scan is refused because a membership expired or the member is outside their access hours, reception should see why.
* **A fallback when the phone is dead.** A member number that staff can type in keeps the line moving when the QR code cannot be shown.

## How should the desk handle an expired member?

The system should catch the expired membership at the scan, not the receptionist. Then the conversation starts from a fact on the screen, not from memory, and stays short and friendly.

A simple desk script that works:

1. **Show the status.** "Your membership ended on the 3rd. Do you want to renew today?"
2. **Offer the quickest route.** Pay in cash at the desk, recorded by reception, or renew by card in the member app.
3. **Record the payment against the member,** so the next scan passes.
4. **Escalate debt, do not negotiate it at the counter.** If there is an older unpaid balance, note it and pass it to the manager.

Prevention beats the awkward moment. A list of memberships expiring in the next 14 days lets the desk remind members a week before, while they are standing at the counter anyway.

## Taking payments at the desk: cash, card and transfer

Reception software must record every payment method your gym accepts in the same ledger, including cash. If cash lives in a notebook and cards in a payment dashboard, debt goes unnoticed.

* **Cash and transfer:** recorded against the member with date and amount.
* **Card:** ideally paid into the gym's own payment account, not held by the vendor.
* **Export:** a CSV of the ledger for your accountant.

## Selling a membership at the desk

A desk sale should take a couple of minutes: pick the package, create the member, take or record the payment, and hand over access. That only works if packages are already set up with their price, billing cycle, access hours and entry limits, so reception does not invent terms at the counter.

## Answering member questions without leaving the desk

Most desk questions are about bookings, the member card, a trainer or the app. If the member's bookings, status and trainer are visible in one view, reception answers in seconds instead of sending people away.

Over time, move routine questions to the member app: when members see their bookings, card and plan on the phone, the desk spends less time on "am I booked for Thursday?".

## Staff permissions: what should reception see?

Page-level permissions mean the owner decides, page by page, what each staff member can open. Reception usually needs check-ins, members, bookings and payment recording, and usually does not need revenue reports or gym settings.

A check-in API is a connection that lets a turnstile, barrier or scanner ask the gym software whether a member may enter, and log the entry when they do.
