# TRAI for Gym Owners: Questions to Ask Your Gym Data

## What can a gym owner ask TRAI about their gym?

In the Trainera web gym dashboard, TRAI answers questions about your own gym: members, leads, packages, classes and reservations, trainers, staff, follow-up tasks, transactions and business insights. It reads that data and tells you where to make changes; it does not change gym data itself, apart from automations on plans that include them. Every gym plan, the free trial included, has 200 TRAI requests a month (October 2026).

Below is a question cookbook by area, with example prompts, what TRAI looks at to answer, and the honest limits.

## How TRAI for gyms works

Gym TRAI has live access to your gym account through read-only tools: every tool it may use starts with "list" or "get".

The chat subtitle says what it is for: "Ask me about your members, leads and classes". You write a question in plain language, TRAI picks the lookups it needs, and the answer comes back in your dashboard language. It addresses you formally (Vi, Sie) in languages that have a formal form.

When the answer calls for an action, such as freezing a membership or moving a class, TRAI tells you where in the app to do it. Gym owners do not build training plans in this chat; plans for members are made in the Plans area or by trainers.

Gym staff do not get the general chat. They get TRAI only inside Automations ("Ask AI"), and those messages count against the owner's 200.

## The question cookbook

Each question below is one example prompt, so one request. They are examples, not fixed commands: write them in your own words.

### Members and retention

The most useful member questions combine a state with a time window.

Example prompt: "List members with an unpaid or expired membership who checked in at least once in the last 30 days."

Example prompt: "Who are my at-risk members right now, and how does the absent count compare with last month?"

Business Insights compares a period with the previous equal period, including absent and at-risk members, expiring memberships and membership debt, so "compared with last month" is a fair thing to ask. ### Leads and sales

Lead questions work best when you name the stage or the source.

Example prompt: "How many walk-in leads did we get in the last 30 days, and how many are still in contacted?"

Example prompt: "Which consultations are booked this week?"

### Classes, attendance and occupancy

Ask for a date range, otherwise TRAI has to guess which week you mean.

Example prompt: "Class occupancy for 1-14 October, lowest first."

Example prompt: "Which weekday has the most check-ins, and at what time?"

Business Insights holds an attendance report per day, a visit heatmap and a sessions report on class occupancy, so these questions have real data behind them. Check-ins come from QR in the member app, manual check-in, turnstiles and other recorded sources.

### Money and a full business review

For a monthly review, ask for everything at once.

Example prompt: "Give me a full business review for September vs August: members, visits, revenue paid, debt, class occupancy and leads."

TRAI can pull a compact bundle of every Business Insights report in one go, which makes a monthly review one request instead of ten. ## What gym TRAI does not do

It does not change gym data from the chat and it never deletes anything.

* **No edits outside automations.** Members, packages, payments, classes, staff and settings are changed by you in the app.
* **No member access.** Gym members (clients with an active gym membership) cannot use TRAI; the server gives them an allowance of 0.
* **No PDF reading.** On web you can attach text files, .docx and images; a PDF is refused.
* **No voice input.** You type.
* **Mobile not confirmed.** This guide describes the web gym dashboard. Whether gym owners get TRAI in the mobile app is not something this post claims.
* **Memory per chat.** Each turn sees the newest 40 messages; you can keep up to 5 saved chats.

The footer says it as well: "AI can make mistakes. Double-check important results." Before you act on a number that affects money, open the report it came from.

## Member data and your responsibility

The gym is the controller of its member data, and asking an AI about members is still processing that data.

Under the GDPR, the controller is the party that decides why and how personal data is processed ([Article 4](https://gdpr-info.eu/art-4-gdpr/)), and processing should be limited to what is needed for the purpose ([Article 5](https://gdpr-info.eu/art-5-gdpr/)). In practice: ask what you need for running the gym, give staff only the pages they need, and tell members in your privacy notice which tools you use. TRAI is told not to reveal email addresses or account identities in its replies. This is not legal advice; check your own obligations with a lawyer or your data protection authority.

## Making 200 requests a month go far

200 requests is about 46 a week, or 6 to 7 a day, shared between the owner's chat and staff "Ask AI" in Automations.

1. **Ask compound questions.** "Expiring in 14 days, unpaid, and overdue follow-ups" is one request, not three.
2. **Use the monthly review prompt** instead of asking report by report.
3. **Name dates and stages** so you do not spend a second request clarifying.
4. **Retry freely after an error.** Failed or empty runs are refunded.

The 200 is the same on Core ($119 a month in US dollars), White Label ($219) and Studio ($259); prices differ by country on trainera.fit/pricing. ## A weekly question routine for your gym

Three questions on a Monday cover most of what an owner needs to see.

Example prompt 1: "What needs my attention today: overdue follow-ups, consultations this week, memberships expiring in 14 days?"

Example prompt 2: "Last week vs the week before: visits, new members, absent members, revenue paid."

Example prompt 3: "Lowest-occupancy classes last week, with the time slot and trainer."

## FAQ

### Can an AI assistant answer questions about my gym members?

In Trainera, yes. TRAI in the web gym dashboard reads your members, leads, packages, classes, reservations, trainers, staff, follow-ups, transactions and business insights, and answers in plain language.

### Can TRAI change member data or freeze a membership?

Not from the in-app chat. Gym TRAI is read-only for gym data, apart from automations on plans that include them, and tells you where to make the change in the app.

### How many TRAI requests does a gym get?

200 a month on every gym plan, including the free trial. Staff "Ask AI" messages in Automations count against the owner's 200. A locked gym gets none.

### Can gym members use TRAI?

No. Clients with an active gym membership cannot use TRAI; their allowance is 0.

### Does TRAI speak formally to gym owners?

Yes. It addresses gym owners formally in languages that have a formal form, such as Sie in German and Vi in Bosnian, Croatian and Serbian.
