## What does a gym get with Trainera?

Trainera for gyms is gym management software sold in two plans, Core and White Label, both with a public monthly price per country, unlimited members, no per-member fee and no setup fee. Core gives the owner, reception and trainers the full system while members use the Trainera app in the gym's colours and logo; White Label is everything in Core delivered as the gym's own native iOS and Android app under the gym's name. In the United States Core costs $149 a month and White Label $299 a month.

This page lists what each person in the gym actually gets on each plan, the price in every published market, what is not included, and which plan suits which kind of gym. If you are still deciding whether you need gym software at all, start with our overview of [what gym management software costs in 2026](/blogs/how-much-does-gym-management-software-cost).

## Core vs White Label at a glance

The two plans run on the same system; the difference is how members receive the app and how much support you get. Everything an owner, a receptionist or a trainer does is identical on both.

Two definitions help here. A **white-label app** is an app built on someone else's platform but published under your own name, logo and store listing, so members never see the vendor's brand. A **per-member fee** is a charge that grows with each active member; Trainera does not use one on either gym plan.

## What each role gets, by plan

Owners, staff and trainers get exactly the same tools on Core and White Label; only the member experience changes. The table below is the role by plan view.

| Role | What they use | Core | White Label |
| ------------------- | --------------------------------------------- | ---------------------------------------------------------------------------------------- | -------------------------------------------------- |
| Owner | Web dashboard | Members, revenue, check-ins, staff, leads, expiring memberships, payment status and debt | Same as Core |
| Staff and reception | Trainera web, invited by email | Only the pages the owner allows; records cash payments | Same as Core |
| Trainers | Trainera web and app, own login under the gym | Their members, plans and messages | Same as Core |
| Members | Phone app | Trainera app in the gym's colours and logo | The gym's own app on the App Store and Google Play |

### Owner: the web dashboard

The owner runs the gym from one web dashboard that shows members, revenue, check-ins, staff and leads together. It flags memberships expiring in the next 14 days, payment status and debt, so you can see who paid and who is due without exporting anything. From the same place you set up packages with your own price, currency, billing cycle, access hours and entry limits, and you can switch AI features on per package, for example AI food scanning and plan drafts for premium members only.

Other owner tools on both plans:

* A leads CRM with a 7-stage pipeline and follow-up reminders, from first inquiry to new member.
* Push broadcasts to members for announcements.
* A drag-and-drop website on your own domain, connected to your packages.
* A transaction ledger with CSV export.
* An MCP server, so an AI assistant can work with your gym data.
* Document storage for contracts, invoices and staff files (10 GB on Core, 50 GB on White Label).

### Staff and reception

Staff are invited by email and see only the pages the owner allows, so a receptionist can check people in and record cash without seeing revenue reports. Reception records cash payments, which then appear in the same ledger as card payments. Our guide to [gym staff roles and permissions](/blogs/gym-staff-management-software) covers how to set this up, and the sibling post on [front desk software for gyms](/blogs/gym-front-desk-software) walks through a typical reception shift.

### Trainers

Each trainer gets their own login under the gym, on the Trainera web app and the Trainera mobile app. They see their own members, build training and nutrition plans and message them, while the owner sees everything. AI drafts come from a library of 1,800+ exercises and 1,100+ recipes, and trainers review and approve every plan before a member follows it.

### Members

Members get one app for their gym life: a QR member card (plus a member number for when the phone battery is dead), bookings for the next two weeks, training and nutrition plans, workout logging, meal tracking, progress with measurements, photos and personal records, messages with the gym and their trainer, and push notifications. On Core this is the Trainera app showing your gym's colours and logo. On White Label the same features arrive as your own native app. The app works in 26 languages, including Arabic, Bosnian, German, Spanish, French, Italian and Russian.

## What White Label adds, and what it does not change

White Label adds your own store presence and a higher level of support; it does not add new management features. Everything a gym runs on Core stays the same.

What you get on top of Core:

* Your own branded iOS app on the App Store and Android app on Google Play, under your gym's name, logo and colours.
* Push notifications sent under your brand instead of the Trainera app.
* Store submission and review handled by Trainera.
* A dedicated account manager and priority support.
* 50 GB of document storage instead of 10 GB.

What stays the same: the owner dashboard, staff and trainer accounts, check-in rules, scheduling, the CRM, payments and the website. The white-label app is a **member app**; trainers and staff keep using Trainera. If you want to understand the trade-off between your own store listing and a branded shared app in more depth, read [own App Store listing vs branded shared app](/blogs/own-app-store-listing-vs-branded-app), and for what branded push changes day to day, see [push notifications in a branded gym app](/blogs/gym-push-notifications-what-to-send). Our broader guide to the [white-label gym app](/blogs/white-label-gym-app) explains the concept for any vendor.

## How much Core and White Label cost in each country

Trainera publishes a fixed monthly gym price per country and never converts it from dollars. White Label is roughly double Core in every market. Gym plans are billed monthly, and larger setups can ask for an Enterprise quote, which is priced per account.

| Market | Core per month | White Label per month |
| -------------------------------- | -------------- | --------------------- |
| United States | $149 | $299 |
| Germany and the western eurozone | 139.99 EUR | 279.99 EUR |
| Spain and the southern eurozone | 129.99 EUR | 259.99 EUR |
| Croatia | 119.99 EUR | 239.99 EUR |
| Montenegro | 99.99 EUR | 199.99 EUR |
| Bosnia and Herzegovina | 129.99 KM | 249.99 KM |
| Serbia | 9,990 RSD | 19,900 RSD |

Prices checked on 25 September 2026 from the Trainera pricing page. Other countries have their own local prices; see the [pricing page](/pricing) for yours.

A quick way to read this: in the United States the step from Core to White Label is $150 a month, or $1,800 over twelve months at monthly billing. That is the price of your own store listing, branded push and a dedicated account manager, since the management features are the same. Because there is no per-member fee, the price is the same for a gym with 150 members and a gym with 1,500\. If you compare Trainera with other vendors, we explain [how we compare fitness software](/blogs/how-we-compare-fitness-software) so you can apply the same method.

## Payments, check-in and scheduling on both plans

These three areas are identical on Core and White Label, and they are usually what a gym tests first.

* **Payments.** Members pay by card through the gym's own Stripe account with a 0% platform fee (Stripe's own processing fees still apply). The gym can also take PayPal, cash or bank transfer. More detail in our [gym payment software guide](/blogs/gym-payment-software).
* **Check-in.** Members show a QR card at reception, or the gym connects turnstiles and scanners through the check-in API, up to 10 devices on Core. A **check-in API** is the connection that lets a door device ask the software whether a member may enter. Expired memberships, access hours and entry limits are checked on every scan, with a live check-in feed. Hardware choices are covered in the [gym access control hardware guide](/blogs/gym-turnstiles-access-control-hardware) and in our [check-in and access control guide](/blogs/gym-check-in-access-control-software).
* **Scheduling.** Classes, small groups, open gym and PT sit in one planner, with recurring series, capacity and rosters. Members book the next two weeks from their phone.

## What is not included

Knowing the limits upfront saves a sales call. On either plan:

* **No free gym plan.** Core has a 7-day trial; after that it is paid monthly.
* **No white-label app for staff or trainers.** The branded app is for members only.
* **No branded app on Core.** On Core, members download the Trainera app, which then shows your colours and logo.
* **No Apple Watch app, widgets or Live Activities promised** in the white-label app. Plan around the phone app.
* **No integrations beyond those listed.** Trainera lists Stripe, PayPal, a check-in API for turnstiles and scanners, CSV export and an MCP server. If you depend on a specific accounting or access system, ask before you switch.

## Which plan fits which gym

Most independent gyms start well on Core; White Label is worth it when your brand in the app stores and a dedicated contact matter more than the monthly difference.

**Core is best for:**

* Single gyms and studios that want memberships, check-in, staff, scheduling, payments and a website in one system.
* Owners who are happy for members to use the Trainera app as long as it shows the gym's colours and logo.
* Gyms that want to try the system on real members first, using the 7-day trial.

**White Label is best for:**

* Gyms whose brand is a core part of the offer, where members should search the App Store for the gym's name.
* Owners who want push notifications to arrive under the gym's name.
* Teams that prefer a dedicated account manager and priority support over email and chat.

**Trainera is not the right fit if:**

* You need a free plan for the long term. Trainera has no free gym plan.
* Your members expect a watch app or home-screen widgets from the gym's own app.
* Your operation depends on an integration Trainera does not list, such as a specific accounting package.
* You are a solo personal trainer without a gym. Trainer plans, priced per plan and never per client, are the better match.

## How to get started

Core can be picked self-serve and starts with a 7-day trial; White Label is arranged on a call so the store listings can be prepared. Either way, Trainera moves your data for free: members, packages, expiry dates, trainers and plans, from an export from Gymmaster, Glofox, Mindbody or Excel. The sibling guide on [switching gym software without downtime](/blogs/switch-gym-software-without-downtime) shows how to plan the move so reception never stops working.

## FAQ

### What is the difference between Trainera Core and White Label?

Core gives a gym the full web dashboard, packages, QR and turnstile check-in, staff and trainer accounts, scheduling, a leads CRM, payments and a website, while members use the Trainera app in the gym's colours and logo. White Label includes everything in Core and delivers the member app as the gym's own native iOS and Android app, published under the gym's name, plus a dedicated account manager and priority support.

### How much does Trainera cost for a gym?

Prices are public and set per country. In the United States Core is $149 a month and White Label is $299 a month; in Germany and the western eurozone they are 139.99 EUR and 279.99 EUR; in Bosnia and Herzegovina 129.99 KM and 249.99 KM. Both plans include unlimited members with no per-member fee and no setup fee, billed monthly.

### Is there a free plan or trial for gyms?

There is no free gym plan. Core starts with a 7-day trial and you can choose it yourself from the website. White Label is arranged on a call with the Trainera team, because the branded iOS and Android apps have to be prepared and submitted to the App Store and Google Play under the gym's name.

### Do trainers and staff get the white-label app too?

No. The white-label app is a member app. Trainers and staff keep using Trainera on the web and in the Trainera app, with their own logins under the gym and only the pages the owner allows. Members are the ones who download the gym's own app from the App Store or Google Play.

### Can I start on Core and move to White Label later?

Yes. White Label is everything in Core plus the branded apps, so your members, packages, trainers and history stay the same when you upgrade. Plan changes take effect immediately and billing differences are prorated. Talk to the team when you are ready, since the store submission for your own app is arranged on a call.

### Does Trainera charge a fee on membership payments?

No platform fee applies to gym card payments. Members pay by card through the gym's own Stripe account with a 0% platform fee, and the gym can also take PayPal, cash or bank transfer. Stripe's own processing fees still apply to card payments, as they would with any software that uses Stripe.
