How much does Practice Better cost in 2026?

Practice Better has a free Sprout plan for up to 3 clients and four paid plans: Starter at $35 a month for 10 clients, Professional at $69 for 300 clients, Plus at $99 with unlimited clients and Team at $155 with two practitioners included. Billed annually, those drop to $25, $59, $89 and $145 a month. For one coach that means $35 a month at 10 clients and $69 at both 30 and 75 clients (checked October 2026 on the Practice Better pricing page).

Practice Better calls itself an "All-In-One EHR", meaning practice software built around health records. Personal trainers are on its list of who it serves, next to dietitians, nutritionists, health coaches and medical practitioners, so read the plan details with that clinical focus in mind.

Practice Better plans at a glance

Plans are limited by client count, practitioners and storage, and the toggle on the pricing page says annual billing saves "up to 10%".

PlanPrice (monthly / annual per month)BillingClient limitBranded appNotes
Sprout$0Free3No1 practitioner, 100 MB storage; for students and those just getting started
Starter$35 / $25Monthly or annual10No1 practitioner, 1 GB storage, 14-day trial
Professional$69 / $59Monthly or annual300No (PDF branding starts here)1 practitioner, 5 GB storage, 14-day trial
Plus (recommended by the vendor)$99 / $89Monthly or annualUnlimitedNo app; custom branding of portal and emails, personalized URL1 practitioner plus 3 admins, unlimited storage, 750 SMS reminders a month, 14-day trial

One small inconsistency on the vendor's page: the Professional card's savings badge does not match its own monthly and annual prices. Go by the $69 and $59 figures, and check the annual total at checkout.

What Practice Better costs at 10, 30 and 75 clients

A solo coach pays $35 a month at 10 clients and $69 at 30 or 75 clients, because Professional covers everything from 11 to 300 clients.

Your clientsCheapest plan that fitsMonthly billingAnnual billing, per monthAnnual total
10Starter (limit exactly 10)$35$25$300
30Professional$69$59$708
75Professional$69$59$708

Two practical points. Starter's limit is exactly 10 clients, so client 11 moves you to Professional. And Professional does not include SMS reminders; other plans buy them as add-on credits, and the credit price was not shown on the page we read. If text reminders matter to your no-show rate, price them before you commit, or look at Plus, which includes 750 a month.

The flat price between 11 and 300 clients is the strongest part of this pricing. Once you are on Professional, growing from 30 to 75 clients costs nothing extra.

Professional or Plus?

For a solo coach, the $30 a month gap between Professional and Plus buys support and polish rather than more clients.

Plus adds unlimited clients (which only matters past 300), three admin seats, unlimited storage, branding on your client portal and emails with a personalized URL, 750 SMS reminders a month, fax pages and access to the Connector Hub add-on. If you have an assistant who books sessions, or you want clients to see your brand instead of Practice Better's, Plus earns its price. If you work alone and email reminders are enough, Professional covers you.

Add-ons and payment fees

Most add-ons are built for clinical practices; a trainer usually needs at most AI charting and SMS credits.

Add-onPublished priceWho needs it
AI Charting Assistant$10 a month for 1,200 minutes, $20 for 3,600 or $40 for 7,200, per practitioner; extra minutes 2 cents eachCoaches who write session notes after calls

Card payments run through Practice Better Payments, powered by Stripe. The Practice Better payments FAQ says there are "no setup fees, monthly fees, minimum fees, or any hidden charges". In the US, online card payments cost 2.99% + $0.30 per transaction (3% + $0.30 for AMEX), and in-person payments 2.7% plus a per-transaction fee.

What drives your Practice Better bill

Client count only changes your price at 3, 10 and 300 clients; practitioners, branding and messaging decide the rest.

  1. Client count. The thresholds are 3 (Sprout), 10 (Starter) and 300 (Professional). Plus and Team are unlimited.
  2. Branding. Your own branded portal and emails need Plus or Team. None of the plans includes a branded mobile app.
  3. Practitioners. Every plan below Team is for one practitioner. Team includes two, and each extra one is $50 a month.
  4. Reminders and AI. SMS credits and AI charting minutes are usage-based.
  5. Billing cycle. Annual billing takes $10 a month off Starter, Professional, Plus and Team.
  6. Ten or more practitioners. Price on request through a consult.

Who Practice Better fits best

Practice Better fits practitioners who run appointment-based sessions and need notes, forms, telehealth and billing in one system.

Starter's essentials are scheduling, telehealth video chat, integrated billing and payments, secure messaging, a client portal, "forms and note templates" and "20+ integrations". The platform also offers programs and courses (fixed-date, evergreen or self-paced), nutrition planning with That Clean Life, AI session prep and session insights, and a mobile app. The vendor lists HIPAA, PIPEDA and GDPR compliance among its features, which matters if you handle health information as a clinician.

That makes it a natural choice for dietitians, nutritionists and health coaches. It suits a personal trainer best when your work looks like consultations: sessions, notes and nutrition guidance. If your work is mainly programming workouts with exercise demos and tracking sets and reps, test that part carefully during the trial, because the published plan features center on practice management rather than training plans.

Where Trainera fits

Trainera is a coaching platform built around training and nutrition plans rather than an EHR, with a flat monthly price per plan, not per client.

Trainer plans in US dollars: Free at $0 for up to 3 clients, Starter at $19.99 for 10, Pro at $49.99 for 30, Business at $99 for 75, and Enterprise with custom pricing and unlimited clients. Yearly is about 10x monthly, and prices differ by country on Trainera pricing. If clients pay you through Trainera's Stripe or PayPal, a platform fee applies by plan (8% on Free and Starter, 5% on Pro, 3% on Business, 1% on Enterprise); cash and bank transfer carry 0%.

Side by side, Trainera costs less at 10 clients ($19.99 vs $35) and 30 clients ($49.99 vs $69), but at 75 clients Practice Better Professional at $69 is cheaper than Trainera Business at $99. That is the honest picture.

What Trainera gives a training-focused coach: training and nutrition plans, more than 1,800 exercises with video, 1,100+ recipes, check-ins, habits, chat, intake questionnaires on every plan including Free, payments, and a free client app for iOS and Android. Trainers can connect Google Calendar so scheduled sessions are added automatically and the client gets an invite.

If you need clinical charting, telehealth inside the platform or compliance documentation for a regulated practice, Practice Better is the better pick. If you mostly write programs, adjust nutrition and check in on progress, a coaching platform will fit your day better.

Alternatives to compare

Compare at least one practice tool and one coaching tool at your real client count before you decide.

Questions to settle before your Practice Better trial ends

Use the 14-day trial to answer these, and the price will not surprise you later.

  1. How many active clients will you have in six months? If it is more than 10, plan on Professional from the start.
  2. Do you need text reminders? If yes, get the SMS credit price or compare it with Plus.
  3. Do you want your own branding on the portal and emails? That needs Plus.
  4. Will anyone else coach or handle admin? Admin seats start on Plus, a second practitioner needs Team.
  5. Can you build and deliver a full training program the way your clients expect to see it?

A message you can send to Practice Better support as written: "Hi, I'm a coach with [number] clients. Which plan fits, what do SMS reminder credits cost, and can clients follow workout programs with exercise videos in the app?"
