How should gyms and personal trainers use WhatsApp for reminders?

Use WhatsApp for short messages people expect and agreed to get there: session reminders, missed-workout nudges, check-in prompts, membership renewals. For a few messages a day, the WhatsApp Business app on your phone is enough. Once reminders should go out on their own, connect a WhatsApp Business number through Meta, get your message templates approved and treat every STOP reply as final.

Why WhatsApp works so well for coaches and gyms

Your clients already have it open. In a lot of countries WhatsApp is where people talk to their dentist, their kid's football coach and their landlord, so a reminder there gets seen.

That strength is also the risk. WhatsApp sits next to messages from family and friends. A reminder that is useful feels like good service. A promo every other day feels like someone walked into the living room. What I see with trainers is that clients forgive a missed reminder much faster than a pushy one.

WhatsApp Business app vs a number connected through Meta

There are two ways to use WhatsApp as a business, and they solve different problems.

The WhatsApp Business app is the free app you install on a phone. You get a business profile, quick replies, a greeting and away message, and labels to sort chats. Every message is still typed or sent by a person. It is perfect for a solo trainer who answers clients personally.

A WhatsApp Business number connected through Meta (the WhatsApp Business Platform, often called the API) lets software send and receive messages for you. That is what you need when a reminder should go out at 18:00 the day before a session, whether or not you are holding your phone. It needs a Meta business account, a phone number for the connection and approved message templates for anything you send first.

Many businesses use a separate number for the connected setup. Before you connect a number you already use in the app, read Meta's current rules for that case, because they have changed over time.

The 24-hour window and message templates

When a client messages your business, a 24-hour customer service window opens. Inside it you can reply with normal free-form messages. Once it closes, you can only start a conversation with a message template that Meta has approved.

A template is a fixed text with placeholders, for example: "Hi [name], reminder for your session tomorrow at [time]." You write it, submit it, and Meta reviews it. Templates belong to categories, such as utility (about something the person booked or bought) and marketing (offers, promotions, win-back messages). A reminder with an offer squeezed in is likely to be treated as marketing.

In practice this means you plan your reminders in advance. Write a small set of templates for the moments you care about, get them approved, and let the client's reply open the window for a normal conversation.

What WhatsApp messages cost

The WhatsApp Business app itself is free. On the connected setup, Meta bills the business per message, and the rate depends on the template category and the country of the person receiving it. Meta publishes and updates these rates, so check their pricing page instead of trusting a number in a blog post, including this one.

Opt-in: get a clear yes before you message anyone

WhatsApp's business rules expect people to agree to receive messages from your business on WhatsApp before you send them. Having someone's number is not the same thing.

Good ways to collect it:

  • A checkbox on your sign-up or intake form: "Send me session reminders on WhatsApp."
  • A line in the membership agreement, with a separate tick, not buried in the terms.
  • Asking in person and noting it in the client profile, with the date.
  • The client messaging you first and asking for reminders there.

Keep a record of when and how each person said yes. If someone only agreed to reminders, do not use that yes for promotions.

STOP means stop

Every person you message automatically should be able to switch it off, and it should work the first time. Add a short line to reminder templates, such as "Reply STOP to stop these reminders", at least in the first message and wherever it fits.

When someone replies STOP, remove them from automated WhatsApp messages right away. Do not send "Are you sure?". People who feel trapped block the number, and if enough people block or report a business number, Meta can limit what that number is allowed to send.

Privacy and GDPR: a short note for EU readers

This is general information, not legal advice. If you coach clients in the EU, the GDPR applies to the phone numbers and messages you handle, whatever app you use. A few habits keep you on safer ground:

  • Know why you have each number and what the person agreed to.
  • Keep health details, injuries, weight and photos out of WhatsApp reminders. Put them in your coaching app, where access is controlled.
  • Tell clients in your privacy notice that you use WhatsApp and for what.
  • Delete or stop using numbers of people who left, once you no longer need them.

Rules and their interpretation differ between countries, so check your setup with someone who knows data protection where you work.

The middle option: a prepared message you send with one tap

Plenty of trainers do not want a Meta business account, templates and per-message billing. They want reminders to be remembered for them, not sent for them.

When WhatsApp is the wrong channel

WhatsApp is not the answer to every message. Pick something else when:

  • The topic is pain, injury or a health worry. Call, or talk in person. A template cannot handle it.
  • The message is long. A new training block or a nutrition change belongs in the app, where the plan lives.
  • It is a document. Invoices and contracts go by email so people can find them later.
  • The person never agreed. A cold list of numbers is not an audience.
  • It is late. Reminders at 22:30 get people to mute you.
  • The client prefers something else. Some people keep WhatsApp for family only. Respect that.
