App for In-Person Personal Trainers: What It Must Do
Most trainer apps are built for online coaching, most studio systems for front desks. Here is what a solo trainer who coaches 1:1 in person actually needs, how it works in Trainera and when Mindbody-style software is the better pick.

What does an in-person personal trainer need from an app?
An in-person personal trainer needs an app that does three jobs: holds the plan you run on the gym floor, keeps the client training and logging between sessions, and records how each client pays you, cash included. Booking a room, selling class packs and managing a front desk are a different job, and that job belongs to studio software.
That split matters because most tools are built for one side only. Online coaching apps assume you never see the client. Studio systems assume you have a reception desk and a class timetable. A trainer who sees ten or twenty people a week in a gym, a private studio or their living rooms sits in the middle.
Why in-person trainers often end up with the wrong tool
What I see with in-person trainers is a familiar pattern. The plan lives in a notebook or a notes app, progress lives in your head, payments live in a banking app, and messages are spread across WhatsApp and SMS. It works with five clients. With fifteen, you start forgetting who did what last Tuesday.
The usual fix goes wrong in one of two directions:
- A big studio system bought for its calendar, which then charges you for memberships, point of sale and class booking you never use.
- An online coaching app that assumes every client trains alone and pays by card, so your cash clients and your sessions do not fit anywhere.
Before you compare tools, write down what your week actually looks like. That list is your shopping list.
What the app should cover, following a normal training week
Before the first session
An intake form: goals, injuries, training history, schedule. You want the answers before the client walks in, so the first hour goes into movement, not paperwork.
During the session
The plan on your phone or tablet with sets, reps, rest and your notes, and a quick way to log what the client actually lifted. If the gym is in a basement with no signal, the plan still has to open.
Between sessions
This is where in-person trainers lose most results. A client you see twice a week has five days on their own. They need the homework workouts, maybe a nutrition plan or a few habits, and a way to ask you a question without calling you at 10 pm.
Progress
Weights, measurements, photos and logged workouts in one place, so the progress conversation every few weeks is based on data and not on memory.
Payments
Some clients pay cash after the session, some pay monthly by card, some buy a fixed program. The app should handle the mix, not force everyone into one model.

Trainera has four payment models: Request only, Monthly subscription (card, with Apple Pay and Google Pay on monthly coaching subscriptions), Plan-based and Cash payments. Training in a gym with no signal
If your trainer plan is Pro, Business or Enterprise, clients can download a training plan in the mobile app and train offline: days, workouts, sets, reps, rest, notes and exercise images are saved on the phone. Exercise videos still need a connection. Finished sets are kept on the phone and sync when the connection is back.
Being found by people near you
In the trainer marketplace clients filter by specialty, city, availability and distance. Location matters only for people who want in-person sessions, which is exactly your audience. Listing depends on your plan: none on Free, basic on Starter, promotional on Pro, priority on Business.

For most solo trainers, the hours in a week cap the client list long before plan limits do. If your clients train in a basement gym or a garage, Pro is the plan that gives them offline downloads.
When Mindbody or studio software is the better choice
To be fair, there are businesses where a trainer app is the wrong tool. Pick studio or gym software if:
- you run group classes and people book spots on a timetable;
- you have a reception or front desk that checks people in and sells memberships or class packs;
- several trainers share rooms and equipment and you need to schedule around that;
- most of your revenue is memberships, not individual coaching.

Mistakes trainers make when moving in-person clients to an app
- Moving everyone at once. Start with two or three clients who will give you honest feedback, then roll out.
- Leaving the app out of the session. Open the plan in the app while you train together. If clients never see it in your hands, they will not open it at home.
- No homework. An app that only shows the sessions you run together gives the client nothing to do on the other five days.
- Keeping cash off the books. Record cash payments the same day. At the end of the month you will know who is behind without awkward guessing.

A first-week setup you can copy
- Create your account and build one In-Person plan for your most common client type.
- Send your intake questionnaire to two existing clients.
- Assign their plans and set Training access to Scheduled only, or All workouts unlocked if they travel a lot.
- Add one or two homework workouts for the days between sessions.
- Choose a payment model per client: Cash payments for those who pay after the session, Monthly subscription for card payers.
- After two weeks, ask both clients what they actually used. Then move the rest.

What to decide before you pick an app
Write down how many clients you see, where you train them, how they pay and what they do between sessions. If the answers are 1:1 coaching, mixed payments and homework, you need a trainer app with a good client side. If the answers are classes, memberships and a front desk, you need studio software. Most solo trainers are in the first group and pay for the second.
