Best Personal Training Software UK (2026): Prices in GBP
A UK-specific comparison of personal training software: what UK GDPR, the ICO fee and CIMSPA/REPs mean for your choice, published prices for Trainera, PT Distinction, My PT Hub, TeamUp and others, and what each costs as your client list grows.

What is the best personal training software in the UK?
The best personal training software for a UK trainer is the one that prices in pounds at your client count, delivers plans and check-ins in a client app, and lets you handle health data in line with UK GDPR. On published prices (checked October 2026), Trainera starts at £16.99 a month for 10 clients and £39.99 for 30, PT Distinction from USD 19.90 for 3 clients, and My PT Hub from €25 for 3 clients.
No single tool wins for everyone. A London studio coach with 15 in-person clients needs different things from an online coach with 60 clients across the UK. This comparison sets out the UK-specific requirements first, then the options with their published prices, and says plainly where we could not verify a price.
What should UK personal trainers look for in software?
Start with the rules and habits that are specific to the UK, then compare features.
| UK requirement | Why it matters | Source |
|---|---|---|
| Health data is special category data | PAR-Q answers, injuries and measurements need an Article 6 basis plus an Article 9 condition, such as explicit consent | ICO (UK GDPR) |
| ICO data protection fee | Tier 1 £52 a year for most sole traders holding client data | ICO; Lewis Silkin (2025) |
| Data complaints procedure | From 19 June 2026 people must complain to the controller first, before the ICO | Data (Use and Access) Act 2025 summaries |
| CIMSPA / REPs | Clients and gyms check your register status; new REPs also sells business software | CIMSPA; repsuk.org |
| VAT threshold £90,000 | Your software price is a cost; above the threshold you charge 20% VAT on coaching | gov.uk |
| Making Tax Digital | From 6 April 2026 for sole traders with turnover over £50,000 (£30,000 from April 2027) | gov.uk |
Sources: ICO on special category data, ICO data protection fee, gov.uk VAT thresholds, gov.uk Making Tax Digital, and Mishcon de Reya on the complaints procedure (secondary).
One practical note on Making Tax Digital: coaching software is not bookkeeping software. None of the coaching tools below is presented here as MTD-compatible, so plan on a separate accounting tool once you cross the threshold. This is general information, not tax or legal advice: check your own VAT, MTD and data protection duties with an accountant or the ICO.
On features, the checklist most UK coaches end up with looks like this:
- a client app (iOS and Android) with plans, workout logging and video demos;
- check-ins with photos and measurements;
- in-app chat, so client messages are not mixed with personal WhatsApp;
- intake questionnaires with an explicit consent question for health data;
- payments that match how you sell: monthly subscriptions, packages, or cash for in-person clients;
- pricing that still makes sense at 30 or 75 clients, not only at 3.

What does each option cost at 10, 30 and 75 clients?
Client count is what really drives the bill, so compare at the number you expect in a year, not today. For Trainera the plan limits map directly:
| Clients | Trainera plan (UK, monthly) | Yearly (10x monthly) |
|---|---|---|
| Up to 3 | Free, £0 | £0 |
| Up to 10 | Starter, £16.99 | £169.90 |
| Up to 30 | Pro, £39.99 | £399.90 |
| Up to 75 | Business, £79 | £790 |
| More than 75 | Enterprise, custom | custom |
For PT Distinction and My PT Hub, the entry plans cover 3 clients; the client limits of their higher tiers are on their pricing pages, and our pricing breakdowns above go through them. As a rule of thumb, divide the monthly price by the number of paying clients you actually have. At £39.99 and 30 clients, the software costs about £1.33 per client a month.
For context, UK coach blogs report online coaching at about £60 to £200 a month per client for 1:1 programming with check-ins (ASFit, secondary). Software is usually a small share of that; the bigger cost is a tool that wastes your time.
Which software fits which kind of UK trainer?
It depends on how you sell and where you train people.
- Online coach, programming and check-ins: look first at PT-focused tools (Trainera, PT Distinction, My PT Hub) and compare cost at your client count, the client app and the check-in flow.
- In-person PT selling sessions and packages: you need booking or scheduling plus a way to record payments taken in person. Trainera has scheduling and a cash payments model; TeamUp and Vagaro are built around bookings.
- Small studio with classes: TeamUp, Mindbody and Glofox target studios. Trainera also has a gym side (class planner, member check-in, packages) priced separately, from £99 a month for Gym Core in the UK.
- Trainer who wants the register and the software together: the new REPs combines both; its pricing was not checked for this article.
Whatever you choose, test it with two real clients for two weeks. The client app is what your clients judge you by, and a trial shows quickly whether they actually log their sessions.
How do UK clients pay through coaching software?
Payment deserves a closer look in the UK, because the public is used to paying recurring fees by Direct Debit. Bacs reported a record 5.0 billion Direct Debit transactions in 2025 (Pay.UK).
Coaching apps mostly take cards. Before you choose software, check which methods it supports for recurring coaching fees, whether you keep your own payment account, and what the platform takes as a fee on top of card processing.
In Trainera, trainers choose a payment model: Request only (price agreed outside the app), Monthly subscription by card (Apple Pay and Google Pay on monthly coaching subscriptions), Plan-based (pay per plan) or Cash payments for in-person training. PayPal and bank transfer options are also available. Trainera's online checkout is card-based: there is no Bacs Direct Debit, so a trainer who wants it runs it through their own provider or bank and records the client in Trainera.
Where Trainera fits for UK trainers
Trainera is one platform for personal trainers and online coaches, gyms and their clients, priced in pounds for UK visitors on trainera.fit/pricing. For a UK trainer it includes:
- training and nutrition plans from a library of 1,800+ exercises with video and 1,100+ recipes;
- check-ins, habits and chat in a free client app for iOS, Android and web, in 26 languages;
- questionnaires (intake forms) on every plan, including Free;
- a branded trainer website and a listing on the trainer marketplace;
- Automations (Starter 1, Pro 3, Business 10 with a visual builder) and Community from Pro;
- courses (Education) from Business.
TRAI, the AI assistant inside Trainera, is included on paid trainer plans: 20 requests a month on Starter, 50 on Pro and 100 on Business. It works on your own account: it can build training and nutrition plans from the exercise library, add days to a plan, and import a training or nutrition plan from a Word (.docx) document into your library. It does not read PDFs, it never deletes anything, and it asks before it changes client data. More on the document import is in our sibling article on importing a Word training plan with TRAI.
What Trainera does not do: it does not collect Bacs Direct Debit, it does not file VAT or Making Tax Digital returns, and it does not claim any certification or legal compliance on your behalf. You stay the controller of your clients' data and responsible for your own UK GDPR duties.
Client plans for people training without a coach are £4.99 (Pro) and £5.99 (Premium) a month; clients of a trainer get the features their trainer's plan includes. See the coaching side on the Trainera trainer platform.
Mistakes UK trainers make when choosing software
- Choosing on the 3-client price. Compare at the client count you expect in 12 months.
- Ignoring the client app. Clients see the app every day; you see the dashboard.
- Collecting PAR-Q answers by email. Health data belongs in one place with explicit consent, not scattered across inboxes.
- Forgetting currency. A price shown in US dollars or euro moves with the exchange rate; a GBP price does not.
- Assuming software covers your tax. Coaching tools and MTD bookkeeping are different products.

A shortlist method you can finish this week
- Write down your client count today and in 12 months.
- Pick three tools from the table that price at that count.
- Check each vendor's current price page, in GBP if available.
- Run a two-week trial with two real clients each.
- Check how intake forms and health data consent work.
- Check how clients pay you, and what fees sit on top of card processing.
- Choose, and move the rest of your clients over in one go.
Your insurance, register and data duties sit alongside the software choice; our sibling article on personal trainer insurance in the UK, Ireland and Australia covers that part.
