Best Pilates Studio Software in 2026: Honest Comparison
What a Pilates studio needs from software, and how Momence, Arketa, bsport, Mindbody, Glofox and TeamUp compare on reformer spot booking, waitlists, class packs, branded apps and published prices.

What is the best software for a Pilates studio?
For a reformer studio, the best software lets clients pick their exact reformer, caps each class at your equipment count, fills cancellations from a waitlist automatically and sells class packs next to memberships. Momence, Arketa, bsport, Mindbody and Glofox all state reformer or spot selection on their own pages, while TeamUp has the clearest published price at $119 a month for up to 100 active customers. A mat-only studio can skip spot booking and usually pay less.
Below: what to look for, how six studio tools compare on the features Pilates owners ask about most, what each one costs where the price is public, and who each one suits. All vendor facts were checked on the vendors' own pages in October 2026.
What a Pilates studio actually needs from its software
The short list is spot booking, equipment-based capacity, automatic waitlists, flexible passes and a way to enforce your cancellation policy; everything else is a bonus.
Reformer classes are small and every machine is a seat you paid for. An empty reformer in a sold-out class is lost revenue, which is why waitlist automation and late-cancel rules matter more here than in a big-box gym.
| Need | Why it matters in a Pilates studio | What to test in the demo |
|---|---|---|
| Reformer or spot selection | Regulars want their usual machine and their usual place in the room | Book as a client on your phone and pick a numbered reformer |
| Capacity set to equipment | A class cannot hold more people than you have reformers | Set a class to your machine count and try to overbook it |
| Automatic waitlist | Late cancellations are common and the spot should fill without staff | Cancel a booking and see who gets notified and how fast |
| Class packs, memberships, intro offers | New clients start on an intro offer, then move to packs or unlimited | Sell a 10-class pack and a monthly membership to the same client |
| Late-cancel and no-show fees | Protects small classes from empty machines | Check that the fee is charged automatically, not by hand |
| Privates and duets | Many studios earn as much from appointments as from group classes | Book a private with instructor availability |
| Branded app | Clients book from your app, not a marketplace full of other studios | Ask the monthly price and who handles store submission |
| Courses or teacher training | Many studios run instructor trainings or workshops | Check whether courses live in the same system as bookings |
If you run teacher training, keep your course content aligned with the standards your certifying body expects. The Pilates Method Alliance describes itself as the international professional association for Pilates teachers, studios and educators.
Pilates studio software compared
All six tools handle waitlists; the real differences are published price, where spot selection sits and how the branded app is sold.

Each tool, and who it fits
Each of these can run a Pilates studio; the right one depends on your size, your budget certainty and how much you care about spot booking.
Momence: strongest on reformer booking detail
Momence's Pilates page says clients "choose their exact reformer or mat position from a branded room map you set up", and you cap each class to your equipment count. Spotfiller offers a last-minute opening to your waitlist, automations move intro clients toward a membership, and it takes card and direct-debit payments with payment plans. Clients can use a free Momence app that shows only your schedule, with optional custom-branded apps. Pricing is quote-only: the pricing page asks you to describe your business. Fits: reformer studios that want detailed spot booking and intro-to-membership automation and are fine with a quote.
Arketa: a low published price for solo instructors
Arketa's Individual plan is $49 a month billed annually, for one team member login and one location, with a 3% transaction fee plus Stripe fees (Arketa pricing). Studio Core, Growth and Suite are custom-priced; the branded app sits in Suite. Its Pilates and Lagree page covers picking an exact reformer or megaformer, automatic waitlist promotion, no-show and cancellation fees, privates and duets, and teacher trainings. Fits: a solo instructor starting out, or a studio that wants privates, duets and teacher training in one place.
bsport: tiered and quote-based
bsport's Pilates page lists Spot Selection for reformers and mats, smart waitlists, SmartFill invites to quieter classes and credit-based passes. Choose Your Spot is on the Elevate tier and the branded app starts at Engage. There is no free version and no standard trial. Fits: boutique studios happy to sign a contract after a demo. Our bsport pricing guide maps each tier.
Mindbody: per-location pricing plus a consumer marketplace
Mindbody says the platform starts at $79 a month per location in the US, and higher tiers are quote-based (Mindbody pricing page). Pick-a-Spot starts at Accelerate, not Starter, and the branded app is an add-on on Accelerate and Ultimate. Staff are unlimited per location. When the Mindbody app brings you a genuinely new client, Mindbody charges 20% of the first purchase, capped at $30. Fits: studios that want exposure in a consumer app and accept per-location pricing. See Mindbody pricing.
Glofox: mat, reformer and hybrid classes
Glofox plans start at $99 a month, with the exact price set by quote. Its Pilates page covers mat, reformer and hybrid classes, auto-filling cancellations from the waitlist, and combining memberships with class packs; its FAQ says it supports reformer capacity limits and spot booking. The branded app is included on Elite and an add-on below it. Fits: studios that run both mat and reformer and like that Glofox says your price is locked for life once you sign. See Glofox pricing.
TeamUp: the most transparent price
TeamUp charges $119 a month for up to 100 active customers, month-to-month, with every feature included. Its Pilates page covers capacity limits with automatic waitlists, class-specific memberships, late-cancel and no-show penalties, and letting regulars keep their favorite class spot. We did not find reformer pick-a-spot on its pages, so ask before you commit. Fits: small studios that want to know the exact monthly cost up front. Our TeamUp pricing breakdown has every band.
What these tools cost at 10, 30 and 75 clients
Only three of the six publish a model you can price yourself, and none of them charges per client below 100 active customers.
| Tool | 10 clients | 30 clients | 75 clients | Notes |
|---|---|---|---|---|
| TeamUp | $119 | $119 | $119 | Same band up to 100 active customers; +$99 for the branded app |
| Arketa Individual | $49 | $49 | $49 | Billed annually; 1 login, 1 location; plus 3% and Stripe fees per payment |
| Mindbody Starter (US) | $79 | $79 | $79 | Per location; no Pick-a-Spot on Starter |
| Glofox | From $99, exact price by quote | Varies by region and currency | ||
| bsport, Momence | Price on request | Quote depends on your business | ||
Look past the subscription. Transaction fees, the branded app and the tier you need for spot selection often decide the real monthly bill.
Where Trainera fits for a Pilates studio
Trainera is not a reformer-booking specialist; it fits Pilates studios that also want to sell programs, courses and coaching around their classes, at a flat published price.
Gym plans are flat per plan, not per client: Gym Core is $119 a month with unlimited members, White Label is $219 with your own branded iOS and Android apps, and Studio is $259 (US dollar prices; prices differ by country on trainera.fit/pricing). The first 3 trainers are included, then $15 a month each. Every gym plan has membership packages, a class planner with recurring series and rosters, QR check-in, a leads CRM, a website on your own domain, a community feed and online courses with lessons, quizzes and certificates, which works well for teacher training. You sell packages online by card through your own Stripe account with a 0% Trainera platform fee.
The honest limits: Trainera's published gym features do not include reformer spot selection or automatic waitlists, and an online package purchase is a one-off card payment, so it does not auto-charge members every month. If spot booking and recurring billing run your studio, pick one of the tools above. If you want home programs, nutrition plans, courses and your own app without a quote, a 7-day trial with no card shows you whether it suits.

A shortlist you can finish this week
You can narrow six options to two in a few hours with this order.
- Decide if you need reformer spot selection. Mat-only studios can drop it and widen the field.
- Write your monthly active client count and number of locations.
- Price the published options first: TeamUp, Arketa Individual, Mindbody Starter and Glofox's entry plan.
- Request quotes from the rest with one message: "We run a reformer studio with [X] reformers, [Y] active clients a month and [Z] locations. We need spot selection, an automatic waitlist, class packs plus memberships and a branded app. Which plan covers all of that, and what is the monthly total including card fees?"
- In each demo, book a reformer on your phone as a client, cancel it, and watch the waitlist fill the spot.
The tool that passes step 5 with the fewest clicks for your clients is usually the right one.
