Coaching Platforms With No Per-Client Fees (2026)
Flat fee, client tiers, per-client overage or revenue share: how 15 coaching platforms really price, what each costs at 10, 30 and 75 clients, and the payment fees that never show on the plan card.

Which coaching platforms have no per-client fees?
Only a few coaching platforms are truly flat: My PT Hub Premium (€59 a month, unlimited clients), Kahunas Ultimate ($99 a month, unlimited clients) and Practice Better Plus ($99 a month, unlimited clients) do not raise the price as your roster grows, as checked October 2026 on each vendor's pricing page. Most others, including Everfit, ABC Trainerize, Hevy Coach and Trainera, charge a fixed price per plan with a client cap, so the bill only changes when you cross into the next tier. FitBudd and PT Distinction add a real per-client fee above the clients a plan includes, and Playbook charges no monthly fee but keeps 20% of your net revenue.
So "no per-client fees" can mean three different things. This page sorts the platforms by pricing model, shows what each one costs at 10, 30 and 75 clients, and lists the payment fees that never appear on the plan card.
The pricing models coaching software uses
There are four models, and the one that suits you depends on how fast your roster grows and how you collect money.
| Model | How the bill grows | Examples (checked October 2026) | Watch out for |
|---|---|---|---|
| Flat, unlimited clients | It does not. One price whether you coach 20 or 200 people. | My PT Hub Premium, Kahunas Ultimate, Practice Better Plus | The flat plan is often not the entry plan, so small rosters pay for headroom they do not use. |
| Flat per plan, with a client cap | In steps. You pay the same until you pass the cap, then move up a tier. | Everfit, ABC Trainerize, Hevy Coach, Harbiz, Coach Catalyst, TrainHeroic, CoachRx, TrueCoach, Trainera | Large jumps between tiers, and how the vendor counts an "active" client. |
| Base price plus per-client overage | Every extra client above the included number adds a fixed monthly amount. | FitBudd, PT Distinction | Overage stacks up fast once you are well past the included count. |
| Revenue share | With your income. No software fee, a percentage of what clients pay. | Playbook | The more you earn, the more you pay, with no ceiling. |
A fifth cost sits on top of all four: the fee a platform takes when clients pay you through it. That is covered further down, because it can matter more than the subscription.
What each platform costs at 10, 30 and 75 clients
At 10 clients the capped tiers are cheapest; at 75 clients the flat unlimited plans pull ahead. The table uses monthly billing, the cheapest plan that fits the roster and no add-ons, read from each vendor's own pricing page in October 2026. Prices exclude tax and can change by region.

Notes you should read before trusting any single cell:
- My PT Hub showed prices in euros when checked; its page data lists the same numbers as USD 25, 59 and 215, so the currency you see may depend on where you are.
- Kahunas shows "$" without naming the currency; Ultimate includes its branded app.
- Practice Better is practice software for health professionals (trainers included), with telehealth and note templates; check that its workout tools cover what you program.
- Harbiz shows annual billing by default and excludes VAT. In the USD view the same tiers read $39, $69 and $185.
- CoachRx lists $199 for 51-150 clients on its pricing page; the vendor's homepage FAQ shows a different figure, so confirm at checkout.
- Coach Catalyst figures come from the pricing-page calculator; the page's FAQ text shows different starting prices, so confirm at checkout.
- FitBudd adds $4 per client above 2 on Starter and $2 per client above 20 on Pro. PT Distinction adds $6, $2.40 or $1.60 per extra client depending on the plan, with the first month of each extra client free.

When each pricing model wins
Capped tiers win while your roster is small, flat unlimited plans win once it is large, and revenue share only wins before you have steady income.
| Your situation | Model that usually costs least | Why |
|---|---|---|
| Under 10 paying clients | Low capped tier or a free plan | Small tiers such as Hevy Coach 1-10 or Trainera Starter cost less than any unlimited plan. Free plans (Trainera Free, 3 clients; Everfit Starter, up to 5) let you start without paying. |
| Steady at 20-50 clients | Capped tier that matches your number closely | Kahunas Essentials covers up to 25, PT Distinction Pro includes 25 and a branded app. Check where the next cap sits before you commit to annual billing. |
| 75 clients or more | Flat unlimited | My PT Hub Premium stays at €59 and Kahunas Ultimate at $99, while band pricing keeps climbing with each tier. |
| Roster swings month to month | Base plus overage, or bands without annual lock-in | You pay for the extra clients you actually have instead of a whole higher tier. |
| Selling programs to many low-price subscribers | Revenue share or a marketplace | No fixed cost while you test demand, but compare the percentage against a flat plan once income is steady. |
In practice, the pricing model matters less than the jump. TrueCoach, for example, goes from $69.98 a month at 20 clients to $164.98 at 21. Write down where you expect to be in 12 months and price that number, not today's.
The fees that are not on the plan card
Payment fees can cost more than the subscription, so check them before you compare plan prices.
Card processors charge their own fee whichever app you use; Stripe's standard US rate is 2.9% + 30¢ per successful card charge (Stripe pricing). Some coaching platforms add their own layer on top:
- TrueCoach Payments takes a flat 5% per transaction, per its help center.
- CoachRx adds 2% on top of Stripe's fees, a US total of 4.9% + $0.30 per transaction (CoachRx help center).
- Everfit charges $9 a month for Payments and Packages, with processing of 3.15% + $0.30 on US domestic cards (Everfit help center).
- ABC Trainerize sells Stripe Integrated Payments as a $10 a month add-on.
- Kahunas says it takes no commission on your sales.
- Playbook keeps 20% of net revenue under its creator agreement.
- Trainera takes a platform fee on payments processed through it: 8% on Free and Starter, 5% on Pro, 3% on Business and 1% on Enterprise, and 0% on cash and bank transfer.
Run your own numbers. If you bill 3,000 dollars a month through the app, a 5% fee is 150 dollars, which is more than several of the plans above. If clients pay you by bank transfer and you only use the app for coaching, the percentage does not apply at all.
Branded apps are the other hidden line: Trainerize charges a one-time fee for its Pro custom app plus Apple's developer fee, and My PT Hub charges a one-time €95. Our white-label fitness app pricing page covers that in detail.
Questions to ask before you sign
Five short questions to the vendor's support chat will tell you what the pricing page leaves out.
| Ask this, word for word | Why it matters |
|---|---|
| "How do you count an active client, and do archived or paused clients count?" | Decides which tier you really need. |
| "What happens the day I add one client over my plan's limit?" | Tells you if you are blocked, upgraded automatically or billed overage. |
| "Do you take any percentage of payments my clients make through the app?" | Separates the platform fee from the card processor's fee. |
| "Is the annual price charged up front, and can I move down a tier mid-year?" | Annual discounts lock you in if your roster shrinks. |
| "Which features on this plan are add-ons, and what do they cost each month?" | Nutrition, payments and branded apps are often extra. |
Where Trainera fits
Trainera is flat per plan, not per client: each plan has one monthly price and a client cap.
In US dollars the trainer plans are Free ($0, 3 clients), Starter ($19.99, 10 clients), Pro ($49.99, 30 clients), Business ($99, 75 clients) and Enterprise (custom price, unlimited clients). Yearly billing is about 10 times the monthly price, and prices differ by country, so check trainera.fit/pricing for yours. The client app is free for your clients, and the Free plan needs no card.
Be honest with yourself about the fit. If you coach 75 or more clients and only need training, check-ins and chat, an unlimited flat plan such as My PT Hub Premium costs less. If you want training, nutrition plans, check-ins, habits, chat, payments and an AI assistant in one app at 10 to 75 clients, Trainera's tiers are among the lower prices in the table above. Count the payment fee by plan too: if most clients pay by bank transfer or cash, it is 0%.
Alternatives and deeper comparisons

How to price your own roster in ten minutes
Take your client count today and your target for next year. Find both numbers in the cost table, add the payment fee you would actually pay on your monthly coaching income, and add any add-on you cannot work without. The cheapest line at your 12-month number is usually the right one, unless a missing feature would push you to switch again.
